Hosts, Locations, and Tags
Set up event hosts, locations, and tags so events are easy to find and clearly presented.
Overview
Hosts, locations, and tags help you organize the calendar and present events clearly to staff and members.
Create hosts and locations once, then reuse them across events. Add tags on each event so you can filter the calendar by activity type, program, or any label that fits your club.
Manage these from the admin dashboard when you create or edit events.
Hosts
A host is a display profile for an instructor, coach, speaker, or similar person shown on the event.
| Setting | What it controls |
|---|---|
| Name | The display name staff and members see |
| Description | Optional bio or notes |
| Image | Optional photo shown with the host |
Add one or more hosts to an event, and set the order they should appear. The same host can be attached to many events.
Archive a host when it should leave the active catalog. Archived hosts stay on past events for history, but won't be shown as an option to add to new events or in the event filters.
Locations
A location is where the event happens: a venue, room, or online meeting.
| Setting | What it controls |
|---|---|
| Name | A clear label, such as Studio A or Main Hall |
| Address | Formatted street address when the event is in person (optional) |
| URL | A maps link, venue page, or online meeting link (optional) |
| Instructions | Check-in notes, gate codes, room numbers, or arrival tips (optional) |
When you create an event, pick a saved location or enter place details for that event. Reuse saved locations for venues you use often.
Archive a location when it is no longer in regular use.
Tags
Tags are flexible labels on events. Use them to group and filter the calendar without changing how bookings work. They're shown to staff and members on the event page and to filter the calendar.
Common examples:
| Tag | Typical use |
|---|---|
| Yoga / Tennis / Social | Activity type |
| Members only / Open to guests | Who the event is for |
| Beginner / Advanced | Level or program track |
Add tags when you create or edit an event. Staff can then filter the calendar by tag to find classes, courts, or socials quickly. Tags do not affect capacity, pricing, or who can book; they are for organization and discovery.
Using them on an event
When you create an event:
- Attach hosts in the order they should appear
- Choose a location (or leave blank for events with no fixed place)
- Add tags so the event is easy to find on the calendar
To remove a host or location from an event, open the event and clear the list. No update will be sent automatically to existing bookings, allowing you to communicate with members separately.
For bookable assets such as courts or treatment rooms, see Event resources.
