Event Resources
Set up bookable resources with weekly availability and overrides, then link them to events.
Overview
An event resource is a bookable asset: a court, studio room, treatment room, bike, lane, or similar. Each resource has a timezone, weekly availability, and optional overrides.
Create resources once, then link them to events so capacity and bookability follow the asset, not only a shared seat count on the event.
You can add an unlimited number of resources in the admin dashboard on the event resources page. API users can also create resources using the Event Resources API.
Resource settings
| Setting | What it controls |
|---|---|
| Name | The label staff and members see, such as Court 3 or Treatment Room 1 |
| Timezone | The local timezone for availability windows |
| Weekly availability | Regular open hours and capacity for each day of the week |
| Overrides | One-off changes, such as closed for maintenance or reduced capacity for a tournament |
Resource weekly availability
Each availability row is a day of the week plus a local start and end, with a capacity for that window:
| Setting | Meaning |
|---|---|
| Day | Monday through Sunday |
| Starts / ends | The open window that day, in local time |
| Capacity | How many concurrent bookings that window allows. Leave unset for unlimited when that fits the asset |
You can add multiple rows for the same day when the resource is only open in stretches, for example mornings and afternoons with a break in between (Monday 09:00–12:00 and Monday 14:00–18:00).
For example, Court 1 might be available Monday to Friday 08:00–20:00 with capacity of 1, so only one booking can use that court at a time.
Availability overrides
Overrides adjust a specific date and time range without changing the weekly template. Each override has a local start, optional end, and capacity.
Use overrides for any temporary changes: when a court is closed for resurfacing, a room has reduced capacity for an event, or hours change for a holiday.
You can use an override to add a specific date and time range to the resource's weekly availability, or to increase capacity temporarily.
Link resources to an event
Link one or more resources on an event in the capacity section. Bookable slots then show availability per resource as well as overall.
When creating a booking:
- Leave the resource unset to allocate the first available linked resource automatically
- Choose a specific resource when the member wants a particular court or room
Staff can filter the calendar and booking lists by resource when they need a court or room view.
Combine resources with time slots so members pick a start time within open hours (for example spa treatments every 30 minutes, each lasting an hour).
When to use resources vs event capacity alone
| Approach | Typical use |
|---|---|
| Event capacity only | Classes and workshops where everyone shares the same room and you only care about seat count |
| Resources | Exclusive or semi-exclusive assets (courts, rooms, equipment) with their own open hours and capacity |
You can still set event-level capacity when resources are linked. Slot and resource remaining capacity together decide what is bookable (the least available option decides what is bookable).
Examples
Tennis courts: one event, multiple resources
Create five court resources (Court 1 through Court 5), each with capacity of 1 and the same weekly open hours. Link all five to a single Tennis court hire event, with time slots for the hire length you offer.
Members are booking a court, not only a time. When they book, they will be allocated a court (they can pick one, or the first available is assigned). The booking shows which court they have booked for, so they know where to go.
If Court 3 is taken from 10:00–11:00, that court is unavailable for overlapping slots (earlier 9:30-10:30 and later 10:30-11:30). Other courts stay bookable for the same time.
You can also run parallel events over the same courts (for example 60-minute and 120-minute hire) linked to the same resources. A booking on either event occupies the court for that period, so the other event cannot double-book it.
Spa treatment room: one resource, multiple events
Create one Treatment Room 1 resource with capacity of 1 and open hours such as 09:00–21:00. Link that same room to several events, each for a different service: massage, physio, and wellness treatments. Each event can use its own name, pricing, and slot duration, but they all draw availability from the same room.
At first, every service shows available start times across the day. When someone books a massage from 10:00–11:00, Treatment Room 1 is occupied for that hour. Overlapping slots on the physio and wellness events also become unavailable for that room, even though those are separate events on the calendar.
That way members browse by treatment type, while capacity stays tied to the shared room.
